Dictation for the whole practice

When two to five practitioners share a practice, you can set it up in two ways: the Dictadoc app on each computer, or Dictadoc Server on one computer in the practice, serving every workstation. This page helps you choose.

  • Dictadoc Server from 5 workstations
  • No graphics card needed on workstations
  • Workstations on Windows or macOS

Two ways to set up

An app on each computer, or one server for everyone

Either way, transcription happens on your premises, with no cloud. What changes is which computer does the work.

Computers
The Dictadoc app Each computer does its own transcription. It needs an Apple silicon chip or a graphics card. Without one, transcription is 10 to 20 times slower.
Dictadoc Server One dedicated computer transcribes for everyone. Workstations can be ordinary office computers, with no graphics card.
Licences
The Dictadoc app One per computer, tied to that computer. It can't be transferred.
Dictadoc Server One seat per workstation, which you can free and reassign at any time.
Settings and updates
The Dictadoc app You set up and update each computer separately.
Dictadoc Server One administration page for the whole practice. The server delivers updates to its own workstations.
Minimum
The Dictadoc app One computer.
Dictadoc Server 5 workstations.
Internet
The Dictadoc app Once, to activate the licence and download what the app needs.
Dictadoc Server Never on workstations. Once on the server, or not at all with offline activation.
Reports
The Dictadoc app On the computer they were dictated on.
Dictadoc Server On the workstation they were dictated on. The server transcribes and keeps nothing.

How to choose

What tips the balance

The app is enough when

  • There are two or three of you, and each of you dictates on a recent computer with an Apple silicon chip or a graphics card.
  • Each practitioner keeps the same computer all year.
  • You'd rather not keep an extra computer running.

A server makes things simpler when

  • Your workstations are office computers with no graphics card, and replacing them all would cost more than a server.
  • Locums, trainees or new partners come and go during the year.
  • You want to set up and update every workstation from one place.

Locums and new arrivals

One seat per workstation, not per person

  • A locum

A locum dictates on the workstation of the practitioner they're covering for, using the same seat. There's nothing to install or activate for them.

  • A new workstation

Install the workstation app, then enter the server's address and the code shown on the administration page. It takes about 5 minutes.

  • Someone leaves

Remove their workstation from the administration page. Its seat is freed straight away, and the workstation stops dictating within 15 minutes.

Setup

Up and running in an afternoon, with no IT department

You need a dedicated computer, switched on during consultations, with a fixed address on the practice network. Allow about 30 minutes for the server, then 5 minutes per workstation, following the step-by-step guide.

With an 8 GB graphics card, two people can comfortably dictate at the same time. Without a card, expect one dictation at a time. Further dictations wait their turn, and their text arrives a little later.

Hardware isn't included. Our support answers your questions by e-mail within 72 working hours.

Privacy

Your dictations stay in the practice

  • Nothing leaves the practice

Voice and text go from the workstation to the server and back, encrypted. Nothing is sent to the internet, or to us.

  • Nothing is kept on the server

Recordings are processed in memory. The activity history never contains what was dictated.

  • Your data stays yours

The practice remains responsible for the computer, its network and the health data it processes. Dictadoc is not a medical device.

FAQ

Questions practices ask

There are three of us. Is a server worth it?

Not necessarily. If your three computers are recent, with an Apple silicon chip or a graphics card, the app on each one is enough and needs no extra computer. A server starts to make sense when your workstations are ordinary office computers, or when locums come and go. Dictadoc Server starts at 5 workstations.

What's the minimum number of workstations?

Dictadoc Server starts at 5 workstations. A seat is a workstation, not a person, so practitioners who share a workstation use only one seat.

We use both Macs and PCs. Is that a problem?

No. In the same practice, workstations can run Windows 10 or 11, or macOS 12 or later. You can install the server on Windows or macOS, or with Docker.

What happens if the server stops?

Practitioners keep recording. Each dictation waits on its workstation and is transcribed as soon as the server is back. Nobody has to dictate again.

Can our medical secretary open our reports?

Not in Dictadoc. Reports are saved, encrypted, on the workstation they were dictated on, and the server keeps no copy. To share a report, write it in the practice's patient software. Dictadoc can type the text straight into it.
