Dictadoc

Medical dictation for your whole organisation, on your network

Dictadoc Server transcribes for every workstation from a server on your premises. Dictations don't leave your network, and your IT team stays in control of access and updates.

  • Nothing leaves your network
  • A removed workstation stops dictating within 15 minutes
  • Works without internet access

Architecture

A server on your premises, light workstations

  • A server on your hardware

Dictadoc Server runs on a dedicated computer in your organisation, on Windows or macOS, or with Docker. No outside service plays any part in transcription.

  • Encrypted connections

Voice and text travel encrypted between workstations and the server. Stored data is encrypted too, on the server and on each workstation.

  • Workstations that only talk to your server

A workstation joins the server with the enrolment code from your administrator. From then on, it talks only to that server, including for its updates.

  • An isolated network, if you want one

The server works on a private network with no internet access at all. You then activate the licence offline, and we tell you how to install the rest.

Data

What the server keeps, and what it doesn't

  • Dictations aren't written to the server

Recordings are processed in memory, then the text goes back to the workstation. The server keeps no copy.

  • No dictation in the activity history

The server's activity history never contains what was dictated, or the transcribed text.

  • Reports stay on the workstation

Each practitioner keeps their reports on their own workstation, encrypted and visible only to them.

  • Nothing reaches us

We host nothing and have no access to your server. To check for a new version, the server sends only its version number, and you can turn this check off.

Access

Access you control

  • One seat per workstation

The licence sets a number of workstations. A seat is a workstation, not a person, and you can reassign it at any time.

  • Removal that takes effect

Remove a workstation from the administration page. Its seat is freed straight away, and the workstation stops dictating within 15 minutes. It stays in the history.

  • One administration page

Seats, the licence, the enrolment code, workstations and their versions, recent activity and server health, all in a browser on your network.

  • A password set by your team

There's no default password. Your administrator chooses one the first time they open the administration page.

Capacity

Sizing the server

With an 8 GB graphics card, two people can comfortably dictate at the same time, and three with a 12 GB card. Without a card, expect one dictation at a time.

The server uses every graphics card in the computer. An extra card adds capacity, and your administrator decides what each card does.

When every slot is in use, the next dictation waits its turn. The practitioner keeps recording, and their text arrives a little later.

Your practitioners rarely all dictate at the same moment. Tell us how many workstations you have and the pace of your consultations, and we'll help you choose hardware before you buy anything.

Your software

With the patient software you already use

  • No connector

The text goes into the field where the cursor was, as if someone had typed it. There's no integration to build or maintain.

  • For software that won't accept pasting

Dictadoc can type the text key by key. You set this up on the workstation.

  • Without leaving the patient record

One key starts the dictation, and a second press sends it. The floating panel stays on top of the software and never takes keyboard focus.

  • If the text can't be inserted

It stays in Dictadoc, and the practitioner is notified. The dictation is never lost.

Deployment

Install, update, decide

  • The server

An installer for Windows or macOS, or a Docker image. Allow about 30 minutes, following the guide.

  • Workstations

Windows 10 or 11, or macOS 12 or later, with no graphics card or internet access needed. Allow about 5 minutes per workstation.

  • Updates

Nothing installs by itself. The server delivers updates to its own workstations, and you decide when practitioners see them.

  • What's on offer

You decide what is installed on the server and what workstations can use.

Responsibilities

Your data stays yours

Dictadoc is a dictation and transcription tool. It is not a medical device. It makes no diagnosis, calculates no dosage and plays no part in clinical decisions. You review and approve everything it writes.

Dictadoc Server runs on your premises, on hardware you choose and secure. As with your patient software, your organisation remains responsible for that computer, its network and the health data it processes.

We develop the software. We host nothing, and your patients' data never passes through us.

FAQ

Questions IT teams ask

Does Dictadoc Server connect to our directory or to single sign-on?

No. A workstation joins the server with an enrolment code, and your administrator manages workstations from the administration page. There are no user accounts to sync.

Do we need a connector for our electronic patient record?

No. The text goes into the field where the cursor was, as if it had been typed on the keyboard. If a program won't accept pasting, Dictadoc can type the text key by key.

What happens if the server stops?

Practitioners keep recording. Each dictation waits on its workstation and is transcribed as soon as the server is back. Nobody has to dictate again.

Can we activate the licence without internet?

Yes. The administration page shows an identifier, which you send us by e-mail. We send you back the licence, and you paste it into the same page.

What does the activity history contain?

It never contains what was dictated, or the transcribed text. Dictations are processed in memory and aren't written to the server.

Is Dictadoc a medical device?

No. Dictadoc is a dictation and transcription tool. It makes no diagnosis and plays no part in clinical decisions. Practitioners review and approve what it writes. Your organisation remains responsible for the server, its network and the health data it processes.
